APeX · ActionCOACH Planning and Execution

Your next five years, planned in numbers

APeX is the ActionCOACH business planning system. With your coach you build one numbers-based five-year plan — every goal backed by a number, a strategy and a named owner — and then run it week by week.

  • 5-year forecasts
  • 500+ profit strategies
  • Run weekly with ABoS

Free scorecard: 8 questions, about 3 minutes, instant result.

  1. Today Where the business is — the real numbers
  2. The gap What has to change to get there
  3. Five years out The business you want to own

The reality

Growing — so why doesn’t it feel like it?

  • Revenue is up. Profit isn’t.

More sales, but the bottom line barely moves.

  • Good months. Tight cash.

Growth uses up the cash before you feel it.

  • A busy team, on the wrong things

    Effort everywhere, focus nowhere.

  • Everything still runs through you

You are the memory, the decision-maker, the project manager and the emergency contact.

That isn’t a growth problem. It’s a planning problem.

Most business plans end up in a drawer, for three reasons:

  1. 1 Cut off from the working week Nothing in the plan changes what happens on Monday.
  2. 2 Decisions made on gut feel Pricing, hiring and spending are guessed, because nobody can see the numbers.
  3. 3 Numbers nobody can see Without a clear view of margin, break-even and cash, problems show up too late to fix cheaply.

What APeX does

One connected plan. Four clear answers.

APeX brings strategy, finance, people and execution into a single plan — instead of five files that never talk to each other.

  1. 1Direction

    Where is the business going?

A written five-year direction, with annual goals and quarterly priorities everyone has agreed.

  2. 2Numbers

    Which numbers need to change?

Five-year forecasts — profit and loss, cash flow, balance sheet, break-even and unit economics — built from your figures.

  3. 3Strategy

Which moves give the best return?

Strategies chosen from ActionCOACH’s proven playbooks — 6 Ways to Increase Profit, 6 Ways to Improve Cash, 4 Ways Systems and Exponential Growth.

  4. 4Execution

What happens this week — and who owns it?

Every priority has an owner and flows into ABoS: weekly LIONS, daily activities and coaching reviews.

  • More profit Every goal is tied to the numbers that drive it.
  • Less chaos Fewer fires landing on your desk.
  • A team that decides Good calls, without needing you.

When the numbers are visible, the question changes from “What should we do?” to “Which move gives us the best return?”

How APeX works

Four stages. One connected plan.

You fill in the first two stages. APeX builds the third from your numbers. Then you and your coach choose the fourth — the strategies that move those numbers.

  1. 1 You enter

    Foundations

Where the business is going and who will take it there — including how the business will use AI.

    • Vision, mission, purpose and brand promise
    • AI direction statement
    • Key people
    • Marketing and target market
    • Goals
    • SWOT and competitors
  2. 2 You enter

    Financials

The numbers behind the business: what you sell, what it costs, how it is funded and how it has performed.

    • Sales and pricing
    • Cost of goods sold
    • Overheads
    • Funding
    • One-off income and costs
    • Historic results
  3. 3 Built for you

    Forecasts

Enter the numbers once. APeX builds five-year forecasts from them — no spreadsheets to build.

    • Break-even
    • Profit and loss
    • Balance sheet
    • Cash flow
    • Unit economics
    • Working capital
  4. 4 You choose

    Strategies

With your coach, pick the strategies that move the numbers — from more than 500 built-in profit strategies, plus cash and systems strategies.

    • 6 Ways to Increase Profit
    • 6 Ways to Improve Cash
    • 4 Ways Systems
    • Exponential Growth
    • An owner and a deadline for each

What your plan includes

  • Five-year profit and loss
  • Balance sheet
  • Cash flow
  • Break-even
  • Unit economics
  • Working capital
  • Key people plan
  • Market and competitors
  • SWOT and risks

What a plan is worth

Small lifts. Big results.

Profit comes from five levers: leads, conversion rate, number of transactions, average sale and margin. They multiply rather than add — so a small improvement in each makes a big difference. APeX shows you which levers to pull, and by how much. Try it with your own numbers.

  • Each lever up 5% Profit up 28%
  • Each lever up 10% Profit up 61%
  • Each lever up 15% Profit up 101%

Illustration: all five levers improved by the same amount — for example 1.05 × 1.05 × 1.05 × 1.05 × 1.05 ≈ 1.28, so profit is about 28% higher. A planning example, not a promised result.

Questions you can answer before you commit

  • What if What happens to profit and cash if we change our prices?
  • What if Can we afford our next hire — and when should we make it?
  • What if What will new equipment or new funding do to our numbers?
  • What if Should we grow this location, or open another one?
  • What if What sales and margin do we need to reach the owner’s goals?
  • What if Where will growth put pressure on working capital?

Four common starting points

1

Turning an idea into a business

Starting out, buying a franchise, opening a clinic or practice, or testing a new product, division or location.

“I have the idea, but I don’t know whether the numbers work.”

Your plan will show

  • Who will buy, and why
  • What you will sell, and at what price
  • Whether it makes money — break-even, cash needs and a five-year forecast
  • What happens first — milestones and who owns them
2

Preparing for funding

A grant application, bank loan, equipment finance, working-capital line or investor conversation.

“How much do we really need — and how will it pay for itself?”

Your plan will show

  • How much you need, when, and what it is for
  • The mix of your own money, loans, equity or grants
  • Cash flow before and after funding — including a slower-growth case
  • The team, risks, safeguards and milestones behind the request
3

Expanding the business

A new site, product, team, equipment, territory or acquisition — before you commit.

“We need another site, but I don’t know what it will do to cash.”

Your plan will show

  • Whether the growth adds profit — not just revenue and complexity
  • What has to be true on volume, price, margin, people and capacity
  • Break-even, and the cash needed until it pays for itself
  • Who owns the rollout and which KPIs show it is working
4

Running a growing, complex business

More people, products, sites or partners — and still too much depending on you.

“The team is stretched. I need priorities, accountability and less dependence on me.”

Your plan will show

  • A five-year direction everyone understands
  • Forecasts and the real drivers of profit and cash
  • Clear priorities, owners and KPIs
  • A weekly rhythm the team runs — not a document in a drawer

Ask about this option

Not sure which one fits? Ask yourself:

  1. 1 How soon do you need the plan? A hard deadline or a commitment around the corner usually points to the 2-Day PlanningCLUB — or more hands-on support.
  2. 2 How confident are you building it yourself? Want guidance and happy to work between meetings? The 3-Step Process. Confident and like to learn step by step? The 12-Week Program.
  3. 3 Group energy or private guidance? The 12-Week Program and 2-Day PlanningCLUB are group formats. The 3-Step Process is one-to-one.
  4. 4 Do you want a plan — or a changed business? If leadership, implementation and lasting results matter most, look at the 12-Month Coaching and Plan Program.

Your coach will recommend one option, based on the decision you are facing and what is at stake — not just the size of your business.

Getting ready

What to bring

You will get the most from APeX if you bring

  • A real decision or goal — and a sense of when it is due
  • Your financial history, or the willingness to build credible assumptions
  • Quotes, contracts and market information you already have
  • The authority to decide — and the right partners or leaders in the room
  • Time for pre-work, and an open mind to be challenged

APeX is not the right fit if you want

  • A guaranteed grant, loan, investor or result
  • A plan written for you, without your input
  • Numbers made up to look good
  • Help with an immediate crisis that first needs turnaround, insolvency, legal or regulated financial advice

FAQ

Questions about APeX

Does APeX guarantee my loan, grant or investment?

No. APeX helps you build a clear, numbers-based case that a lender, grant body or investor can follow. It does not guarantee funding, replace a lender’s own forms, or replace legal, tax, accounting, valuation or regulated financial advice.

Is APeX only for big businesses?

No. It works from a first idea to a large, multi-site business. We match the depth of planning to the decision you are facing and how complex the business is — not to your turnover alone.

How long does it take?

From two focused days (the PlanningCLUB) to three coached meetings or twelve weekly sessions. On the 12-month program, the plan is built alongside ongoing coaching.

Who does the work?

You bring the information and make the decisions. Your coach gives the process structure, reviews your numbers and challenges your assumptions. We never invent numbers for you.

Do I need to build spreadsheets?

No. You enter your foundations and your numbers, and APeX builds the forecasts. The finished plan exports to Word or PDF, and the forecasts to Excel.

What happens when the plan is finished?

It becomes how you run the business: annual goals, quarterly priorities and weekly actions, reviewed through coaching and ABoS, the ActionCOACH Business Operating System.

How much does it cost?

It depends on the option that fits your situation. Book a planning conversation and your coach will recommend one option and give you a clear fee.
